Description:

Position Description: Oversees all aspects of daily business office operations for a small custom printing shop. This is a customer service job that requires graphic design and office management skills.

Responsibilities: Provides customer service by answering business phone line; responding to customer emails, instant messages and chats; answers customer questions; gives price quotes; assists customers in placing orders and in setting up new accounts. Maintains current customer order information. Sends requests to customers to feature their business on CSM blog, Facebook page and Twitter account.

Manages billing processes using QuickBooks by creating customer invoices; tracking accounts receivables; generating and sending monthly statements; creating yearly commissions reports; reconciling QuickBooks with Quick Commerce and Pay Pal accounts; and reviewing invoice reconciliations with the bookkeeper.

Supports print production by reviewing that digital artwork received from customers is camera ready.

Works closely with the Print Production Coordinator to determine production flow on orders and coordinates with the Production Assistant to ensure completed jobs are shipped on time. Works with customers to create unique custom sticker designs. Helps design marketing materials and provide limited website support. Works with freelance writer to provide art for Blogger and Facebook posts and Twitter feed. Creates and maintains Pinterest boards. Maintains and orders office supplies and marketing materials.

Experience and Qualifications: 1 year experience doing customer care 1 year billing and accounting experience Proficient using QuickBooks 2 years graphic design experience

Preferred Skills & Abilities: Proficient using Adobe Suite programs Proficient using Mac and PC computer systems Familiarity with social media: Blogger, Facebook, Pinterest and Twitter Ability to accurately type 70 to 80 words per minute  

Preferred Skills & Abilities cont.: Proficient in accurately converting fractions to decimals Nonviolent Communication Skills Team player Able to train other employees in certain office support tasks The ability to work autonomously and collaboratively depending on the project
