Description:

Aphrodite Aesthetics & Wellness is Prescott's #1 voted Med Spa three years running. We are a high-volume, fast-paced aesthetic practice with a reputation for clinical excellence and an exceptional patient experience. We are growing fast and this role needs to be filled by someone who can keep up.

This is not a receptionist position. The Patient Care Coordinator is the first voice a patient hears and the last impression they leave with. You set the tone for the entire patient experience from the first phone call through checkout. You keep the schedule tight, the providers informed, and the patients taken care of. This role requires someone who is organized, professional, and sharp enough to manage a busy practice environment without being hand-held.

You will start each morning by preparing the daily huddle and reviewing the provider schedule so the clinical team walks in ready to go. You will manage all inbound patient calls and texts, answer questions, handle rescheduling, and make sure every patient interaction reflects the standard this practice is known for. New patient intake and onboarding is yours to own from the first call through their first appointment. You will coordinate directly with providers throughout the day to keep patient flow running smoothly and communicate any schedule changes in real time. Online reviews and patient feedback will be monitored and managed by you. You will also participate in membership enrollment conversations and retail recommendations as part of the natural patient interaction. Boulevard is our scheduling platform and you will be in it all day alongside our phone CRM and email systems. Everything gets documented, nothing gets dropped. You will support daily closing procedures in coordination with practice leadership.

Two or more years of medical office experience is a hard requirement. We are looking for someone who is genuinely comfortable on the phone, handles a fast-moving schedule without losing composure, and takes ownership of their responsibilities without needing to be reminded. Experience with Boulevard or a comparable scheduling platform is a strong plus. Familiarity with CRM or lead management tools is preferred. You should be the kind of person who prepares before the day starts, communicates proactively when something is off, and takes pride in running a clean, organized front office. Formal training in customer service, medical office administration, or communications is a plus but what matters most is that you are sharp, reliable, and genuinely good with people.

Base pay runs $19 to $25 per hour depending on experience and demonstrated skill. This is a role with real room to grow. Compensation, responsibility, and opportunity all expand with performance. We invest in people who show up and produce. Full compensation package discussed during interview.
