About the Role:

Manage the day-to-day benefits operations for North America (US and Canada), ensuring benefit programs are administered accurately, remain compliant with federal and state regulations, and are well-coordinated with local brokers, carriers, and vendors. Work under the guidance of the Head – Compensation & Benefits to execute benefits renewals, enrolments, compliance filings, and employee communications for the NA employee population.

AREAS OF RESPONSIBILITY

1. Benefits Administration & Operations

• Manage day-to-day benefits administration — enrolments, life events, terminations, and claims escalations.

• Run the annual Open Enrolment process — system configuration, employee communications, query resolution, and post-enrolment data audits.

• Ensure accurate benefits data in HRIS and carrier systems — eligibility feeds, data reconciliation, and discrepancy resolution.

• Administer 401(k) / retirement plan operations — enrolments, employer match processing, and vendor coordination.

• Manage FSA, HSA, and HRA programs — contribution tracking, employer funding, and year-end compliance.

• Administer leave of absence processes in coordination with LOA vendors and HR operations — FMLA, state leaves, and disability claims.

• Handle employee benefits queries and escalations, ensuring timely resolution of claims issues and coverage disputes.

• Manage benefits for H1B visa holders — ensuring coverage continuity and coordination with Legal and Immigration teams.

2. Broker, Vendor & Carrier Coordination

• Serve as the day-to-day point of contact for NA benefits brokers, carriers, and TPAs.

• Coordinate with brokers on annual renewals — gather renewal quotes, prepare cost comparisons, and present options to the Head – C&B for decision.

• Track vendor SLAs and escalate performance issues as needed.

• Coordinate vendor implementations for plan changes, new programs, and system integrations.

• Manage invoice processing, premium reconciliation, and payment coordination with Finance.

3. Regulatory Compliance

• Ensure compliance with federal benefits regulations — ACA, ERISA, HIPAA, COBRA, FMLA, and Section 125.

• Track and ensure compliance with state-specific mandates — state family/medical leave laws, paid sick leave, state disability insurance, and state health insurance requirements.

• Manage ACA reporting — 1094-C / 1095-C filings, affordability testing, and measurement period tracking.

• Support Form 5500 preparation and filing, SPD/SMM updates, and plan document maintenance.

• Administer COBRA — qualifying event notices, premium collection, and timely processing.

• Support non-discrimination testing for Section 125 cafeteria plans and FSAs.

• Flag emerging federal and state regulatory changes to the Head – C&B and recommend necessary plan adjustments.

• Support internal and external audits related to benefits programs and regulatory filings.

4. Employee Communication

• Prepare and distribute benefits communication materials — Open enrolment guides, plan comparison sheets, FAQs, and new hire benefits orientation content.

• Conduct benefits education sessions and webinars for NA employees.

• Serve as the first point of contact for employee benefits questions, partnering with HRBPs for consistent messaging.

5. Benefits Cost Tracking & Reporting

• Track NA benefits spend against budget and report variances to the Head – C&B on a periodic basis.

• Monitor claims utilization, enrolment trends, and cost-per-employee metrics.

• Prepare data and reports for benefits renewals, benchmarking exercises, and leadership reviews as directed by the Head – C&B.

KEY SKILLS

• Working knowledge of US benefits regulations — ACA, ERISA, HIPAA, COBRA, FMLA, Section 125, and key state mandates.

• Experience in benefits administration — enrolments, Open Enrolment, claims management, and carrier coordination.

• Familiarity with benefits administration systems and HRIS platforms (Workday, ADP, SuccessFactors, UKG, or equivalent).

• Ability to coordinate with brokers, carriers, and TPAs on renewals and day-to-day operations.

• Good data handling skills — Excel, benefits reporting, and eligibility data management.

• Clear written and verbal communication skills for employee-facing benefits materials.

• Attention to detail and ability to manage compliance deadlines and filings accurately.

REQUIRED QUALIFICATIONS AND EXPERIENCE

• Bachelor's degree in HR, Business Administration, or a related field.

• 4+ years of experience in US benefits administration and operations.

• Hands-on experience with Open Enrollment, carrier coordination, and compliance filings (ACA, COBRA, ERISA).

• Experience working with benefits brokers and vendors on renewals and day-to-day issue resolution.

• IT services / staffing / consulting sector experience preferred.

• Experience managing benefits for H1B visa holders preferred.

• Comfortable working in a matrixed structure with the Head – C&B based in India.

Salary Range: The annual [salary for this position is between [$65,000 - $75,000 annually]. Factors which may affect pay within this range may include geography/market, skills, education, experience and other qualifications of the successful candidate. xywuqvp
