The Jim & Linda Lee Performing Arts Center (J&LLPAC) Box Office Specialist is responsible for ensuring a positive box office and hospitality experience for all J&LLPAC patrons through a high standard of customer service that provides exceptional ticketing and guest service operations. Position reports directly to the Front of House Manager and requires working nontraditional business hours including evenings, weekends, and holidays.This position will assist the Front of House Manager in managing Ticket Office operations, including opening/closing the box office during regular hours, processing refunds/exchanges for patrons, and managing box office sales staff responding to patron questions. In addition, the Box Office Specialist will manage the recruiting and scheduling of all event managers, ushers, parking attendants and volunteers. Finally, this position will manage concessions inventory. The successful candidate will work with the Front of House Manager, Marketing Director, Executive Director, Event Managers, Ushers, and Volunteers to increase ticket sales and promote a positive PAC experience for all our patrons.Key ResponsibilitiesTICKETING/BOX OFFICE DUTIES:* Closing/opening box office during regular hours.* Support box office sales staff in questions/issues with ticket purchases.* Respond to general inquiries from patrons regarding ticket sales and/or refunds or credits.* Process all refunds and/or exchanges for Patrons.* Build and maintain ticket sales office staff schedules.* Report issues with ticketing software to Front of House Manager for resolution.* Prepare Donor Seat Covers for events and manage the placement* Prepare Reserved Parking signage for donors and special guests and manage the placement.* As directed by the Front of House Manager, will oversee the scheduling and recruitment of parttime front of house staff and volunteers.* Manage Volgistics software, building/maintain volunteer schedules* Communicate with Ambassador Volunteers about event changes/cancellations.* Coordinate Ambassador/Volunteer appreciation events.PATRON HOSPITALITY DUTIES:* Work with campus catering to create menus for events (include pre-show dinners, intermission events, after event desserts and special events hosted by the PAC).* Oversee set-up of tables, chairs, linens, etc. for events.* If a community caterer/restaurant is used, coordinate with them for logistical needs and set-up.* Manage inventory of bars and concessions and coffee house. Include keeping regular inventory of products and equipment. Ordering products and needed.* Maintain concessions equipment. Process service repair requests. Submit requests for equipment replacement to Front of House Manager.* Set-up VIP guest concessions when needed.* Ensure menus, signs and posted calendars are up to date. Includes interior food beverage , restroom/lobby calendars, signs/menus, exterior community boards.* Purchase and setup/present drinks and uncatered items (coffee, tea, sodas, snacks) for concessions.CASH MANAGEMENT DUTIES:* Maintain Square Register System.* Cash-in/out concession's cashiers* Pull daily reports for reconciliation of cash.* In coordination with the Front of House Manager and Executive Director, maintain strict security controls for cash deposits.* Associates' degree in Business, Administration, Arts Management, or a closely related field and/or one to two years of professional work experience in Ticket Office/events/ hospitality, with related experience in cash, and credit card handling and reconciliation practices.* Working knowledge of ticketing systems and tickets sales reporting* Knowledge and experience in supervisory practices* Excellent customer service skills* The ability to multitask in a loud chaotic environment* Skilled in the use of Microsoft Office applications, ticketing and internet-based systems* Ability to communicate effectively through interactions with multiple students/ faculty/ and the general public* Excellent interpersonal, written, and verbal communication skills* Strong organization, prioritization, and efficiency skills* Flexibility to shift duties to maintain smooth operations and strong customer service* Attention to detail and accuracy are a must* Ability to facilitate a collaborative team atmosphere between front-of-house staff? and other J&LLPAC departments* This position requires the ability to work flexible non-traditional business hours, including evenings, weekends, and holidays.* CPR and First Aid training/certification* ServeSafe Certification* AZ Food Handler's Card* Title 4 Training (alcohol beverage training)To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
