Description of Position

The Academic Operations Coordinator works in the Office of Instruction and manages the application and hiring process for adjunct faculty, manages the districtwide faculty credential documentation to ensure adherence to regional accreditation, supports the coordination of adjunct faculty orientations, and maintains the faculty load and compensation process.
The Academic Operations Coordinator job responsibilities include:

  • Manage adjunct faculty job postings, applications, and hiring processes.
  • Collaborate with academic department hiring managers to develop requisitions and create job postings.
  • Monitor completion of adjunct faculty hiring paperwork and create onboarding portals for adjunct faculty.
  • Manage faculty credentialing documentation and faculty records within institutional systems, ensuring accuracy, compliance, and completion.
  • Verify accrediting bodies of educational institutions and confirm completion of courses, trainings, certificates, and/or degrees through transcripts and/or other documentation.
  • Support hiring managers with ensuring accuracy and compliance on credential documentation.
  • Collaborate with Human Resources to ensure accurate credential criteria on full-time faculty job postings.
  • Support the coordination of new adjunct faculty orientations.
  • Plan, organize, direct, manage, and provide training on all faculty load and compensation processes across the district.
  • Process faculty load and compensation in collaboration with Payroll.
  • Maintain teaching requirements and adjunct faculty support website.
Minimum Expectations & Requirements
  • Bachelors degree or Associates degree with three years of related experience in a higher education environment.
  • Excellent verbal and written communication skills.
  • Ability to adapt communication style to suit different audiences.
  • Strong attention to detail.
  • Demonstrated knowledge and good judgment in matters of policy and procedures.
Preferred Skills & Abilities
  • Experience coordinating training sessions.
  • Experience with Banner and/or Neo Ed

  • Personal Leave: Use of up to three personal leave days per year which are charged against accumulated sick leave to take care of items of personal business

  • Breaking Bread: 32 meal swipes for use at the Prescott Campus Eatery. All Other Campuses and Sites receive a $140 credit each semester (fall and spring) to be used at the Open Market on campus/center
  • Spanish Interpreter Incentive Program: Employees interested in additional compensation for their Spanish speaking skills agree to assist YC by attending two recruiting events and being available for Spanish Interpretation needs as they arise. Compensation is added to the employee's regular pay at the rate of $175 per month. Employees that are interested in participating let your HR Business partner know, so they can schedule you for the ACTFL language proficiency test at the YC testing center.
  • Direct Deposit: Paychecks deposited directly into the employee's bank account(s)
  • Tuition Waiver: Eligible Full-time Faculty and Staff may enroll up to 6 hours; eligible dependents may enroll in a partial or full program of course work without payment of tuition, exceptions may be lab fees and market based additional fees
  • Sabbatical: Faculty, professional and administrative staff may apply for compensated leave of up to a year after six years of continuous service
